Advisor – Events

Under the supervision of the Head of Events, the incumbent contributes to the strategic planning, development, management, and execution of CRS events and community initiatives. They are responsible for coordinating and maintaining relationships with organizing committees and volunteers involved in these events.

Job

Permanent, full-time position, office-based – Downtown Montreal (McGill metro station)

Schedule

37.5 hours per week (fixed schedule from 8:30 a.m. to 5:00 p.m.)

Language

Bilingual proficiency (French/English) mandatory

Main responsabilities

Strategic Planning and Development

  • Contribute to the implementation of the annual events plan;
  • Plan and coordinate fundraising events, benefit evenings, and community initiatives;
  • Drive the growth of the events and community initiatives portfolio by engaging new groups, families, and businesses across Canada in support of the mission;
  • Strengthen relationships with organizers of existing initiatives to ensure year-over-year continuity, fostering meaningful, authentic, and motivating engagement;
  • Develop partnership opportunities across various donor segments (individual, corporate, institutional, foundations, etc.);
  • Create sponsorship proposals, partnership opportunities, and solicitation tools for events;
  • Prepare budgets required for the execution of specific initiatives;
  • Develop policies, establish procedures, and create guidelines for all community initiatives.
  • Contribute to the implementation of the event marketing strategy.

Event Management and Execution

  • In collaboration with the Head of Events, oversee all events organized by the CRS from conception to delivery, ensuring timelines and budgets are respected;
  • Support third-party event organizers and community groups by providing personalized guidance and strategic advice tailored to the nature of their event;
  • Develop, update, and maintain all tools required for event execution (solicitation letters, visibility plans, thank-you letters, etc.);
  • Carry out all necessary event-related solicitations;
  • Serve as the main point of contact for organizing committees (meeting minutes, meeting calendars, management of Outlook invitations, etc.);
  • Produce the daily sales report and manage the sales summary for each event;
  • Identify operational or relationship-based challenges related to the initiatives and recommend pragmatic, creative solutions;
  • Ensure on-site presence at events;
  • Liaise with the administrative department to ensure accurate delivery of receipts, donation reconciliation, financial reconciliation, and audit support;
  • Oversee the process for all permit and licence applications;
  • Perform any other related duties.

Ressource Engagement

  • Motivate, support, and retain donors and partners;
  • Develop and maintain relationships with volunteers, participants, organizing committees, partners, and donors;
  • Supervise volunteers and interns who support fundraising efforts;
  • Negotiate and draft vendor contracts;
  • Support the internal communications and marketing team in creating event-related content.

Requirements

  • Undergraduate degree in a relevant field or equivalent experience;
  • At least five (5) years of experience in event planning, or a combination of relevant experience. Experience in a nonprofit organization is an asset;
  • Bilingualism in English and French, both spoken and written;
  • Experience in customer service and volunteer supervision;
  • Experience in solicitation and fundraising campaigns;
  • Proficiency with Microsoft Office Suite (Word, Outlook, PowerPoint, Excel);
  • Knowledge of and experience with Raiser’s Edge (Blackbaud) or another CRM tool is an asset;
  • Availability to work some evenings, weekends and to travel a few days per year.
